Terms and Conditions
The following applies to all American Society of Naval Engineers (ASNE) events unless otherwise noted. Terms and Conditions are subject to change without notice.
ASNE reserves the right to reject any application or registration application.
By attending an ASNE event, virtually, or in person, each participant consents to being filmed, photographed and recorded during and in connection with the meeting and consents to the use or publication of such recordings in connection with any promotional, educational or professional purposes.
Each participant releases ASNE and its Council members, directors, officers, employees, or agents from any and all liability arising from the recordings or their uses, including for infringement of proprietary rights, invasion of privacy, defamation or any other cause of action, and waives any right to inspect or approve such recordings and any and all rights to payment of royalties in connection therewith.
Submission of registration, whether online or via email, fax, phone, mail or in-person constitutes registration and agreement with these Terms & Conditions. Registration attendee requests will be vetted through U.S. government entities. ASNE reserves the right to deny registration application requests.
In the event a credit card is declined, or a check is returned, the registrant must provide payment no later than 14 business days prior to the event, OR within 14 business days of notification (whichever is sooner), or the registration will be cancelled.
In the instance a Purchase Order (PO) Number is not received, or payment is not obtained for any other reason, the individual or organization is still responsible for payment unless a written cancellation is submitted in accordance with the cancellation policy.
Rates selected by attendees during registration will be verified. If an incorrect rate-type has been selected and paid, the registration rate will be adjusted appropriately. Individuals may receive a credit for overpayment. Attendees are responsible for additional payment, if required, if they registered under an unauthorized registration category.
All cancellations and transfers must be submitted in writing.
Exhibit & Sponsorship Purchase
Submission of exhibit or sponsorship application, whether online, via email, fax, phone, or mail constitutes agreement with these Terms & Conditions.
A 25% minimum deposit for both sponsorships and exhibit booths/table-tops (including virtual exhibit booths) are due at the time of reservation. In the event full payment of exhibit/table-top or sponsorship is not received greater than 30 days prior to the event, ASNE retains the right to offer the sponsorship or exhibit location to other interested parties.
Upon acceptance by ASNE of an application, accompanied by a deposit, it shall be a contract between the applying organization and ASNE; with provisions that either party may cancel this contract, but with the understanding that cancellation fees will apply.
If a sponsorship or exhibit deposit reservation is cancelled, cancellation fees will apply.
*Note: If an American Society of Naval Engineers in-person event is cancelled by ASNE all deposits and paid amounts can be refunded, or may be applied to future ASNE events, registrations, membership, webinars, professional development training, or publications.
If cancellation of an exhibit or sponsorship is desired, written notice of such cancellation must be sent and received prior to 30 days before the published opening date of the event. The amount of the deposit paid may be refunded, and is contingent upon the following details:
- If the cancellation notification is made in writing and,
- The percentage refunded is based upon the number of days prior to the event.

Cancellation Fees Details:
An Exhibit cancellation fee of 25% of the paid deposit amount will be charged if the exhibit (including virtual exhibits) is cancelled by the exhibitor 61 days or greater prior to the symposium or event. Cancellation of exhibit reservation 60 days thru 31 days prior to the event will result in a cancellation fee of 50% of the paid amount.
If exhibit invoice is not paid-in-full 30 days before the event, ASNE retains the right to offer the exhibit location to other interested parties.
*Please Note: Cancellation of an exhibit 30 days or less prior to a Symposium event (including virtual Symposia) will result in loss of paid deposit amount.
Symposium sponsorship cancellation fee of 25% of the paid amount will be charged if the sponsorship is cancelled 61 days or greater, prior to the symposium.
Cancellation 60 days thru 31 days prior to the event will result in a cancellation fee of 50% of the paid amount.
If sponsorship invoice is not paid-in-full 30 days before the event, ASNE retains the right to offer the sponsorship to other interested parties.

Event Registration Fee Refunds

Registration fee refunds for symposia and professional development webinars:
Full 100% registration fee refunds are provided for Active-Duty DOD, DHS, NOAA personnel, U.S. Government Service Civilians, and current ASNE members only.
Transfer of registration fee to another person is authorized. Request must be in writing greater than 24 hours before the published start of the symposium.
*Please Note: For non-ASNE members:
If an event Registration is cancelled in writing greater than 24 hours before the ASNE event, non-ASNE members will be provided a credit to future events, webinars, membership fees, or the registration fee can be applied to a sustaining ASNE donation.
***COVID Exceptions: Due to Coronavirus event health & safety and attendance challenges, in-person registration name transfers will be accepted, or credits can be applied to any and all future events or ASNE programs.
